Track changes impaired--help!
« on: May 08, 2012, 10:28 PM »
I tried to read all about track changes on line, but um...it was so much, my brain was exploding, and I still didn't find an answer to my question(s). Help?

1. Is there a way to automatically jump to the next change? It's easy to go down the margin and read the comment bubbles, but I mean the in-text changes, where you can choose to accept or reject them. When there are maybe 25 word-level changes in a 60K manuscript, I'm just afraid I'm going to skip over them by mistake if I'm just scrolling through.

2. Mostly when I right-click on the changed passage, it gives me the choice to accept or delete. Except that sometimes, it gives me the message that it's not grammatical, and I can't get off of that to get the accept/delete option. I've tried right-clicking all over the word, but still, no go.

3. When you're done going through tracked changes and you're getting ready to send your ms back to your agent, do you copy it all into a new document? Or do you save and just send that back?

I thought I knew how to use this program, really. And now suddenly I think maybe I don't...

1. Yes. If you make the Review toolbar/tab available (depending on what platform/version you're on -- try the View -> Toolbars menu to get that toolbar if you don't have a row of grey tabs there under the main toolbars, and make sure you have View -> Ribbon selected, if that's an option in your version), you'll see some sorta arrows - the right arrow will jump you to the next change or comment, with each one highlighted so you can immediately click accept or reject (in the toolbar, not by right-clicking)
2. Probably the grammar checker is taking precedence. Use the toolbar to accept/reject instead and you can avoid that problem.
3. Once you've accepted or rejected (or not), just save and send back. One of the features (also on that toolbar, or in the Reviewing (Tools) menu depending on version is that you can also choose Final, Final showing markup, original, original showing markup. If you play with that you can make markup visible or not to sorta see what the last set of changes was (I haven't used this much and I'm not convinced it *really* works as I would expect it to, but you can always experiment a little on some file that doesn't matter.)

If that doesn't make sense or you have trouble, tell us what platform/version of Word you're on; I have several and can probably find the exact menu commands for you.

Hi Rose!

For #3, after I've accepted/deleted changes and ALL changes are wrapped up, I save, then save as "BOOK TITLE final." I turn track changes off, turn toolbar displays off, and then I consider it ready for electronic submission.
